Licensed Executive Assistant/Transaction Coordinator to REALTOR


Who We Are:--We are a small (but effective) close-knit team of real estate professionals in Phoenix who primarily work in the NE Valley. Business is growing quickly and we are looking for additional support to continue growing! The position we are hiring for is an Executive Assistant/Transaction Coordinator and you will be primarily responsible for administrative tasks at our office in Scottsdale. Responsibilities Include (but not limited to):

--- Complete tasks for lead generation system, update and manage CRM
--- Transaction coordination
--- Manage listing inventory, facilitate escrows/closings
--- Prepare listing presentations
--- Assist with preparation of CMAs
--- Manage agent calendar, schedule, and emails
--- Run office in an effective & productive manner
--- Complete daily tasks and operations with a sense of urgency
--- Light errand running/appointment meeting
--- Assist with showings, open houses/broker events
--- Manage operational systems; forecast and develop any needed systems/structures for increasing business
--- Responsible for producing listing marketing materials (printed collateral, websites, etc.)
--- Assist with social media campaigns
--- Communicates with customers, clients, other agents, and service providers throughout the closing process
--- Schedule inspections, signings, appraisals, and service provider appointments
--- Administrative duties include copying, answering the phone, filing, and sending/receiving emails
--- Marketing support, blog post writing, and some Canva skills preferred

--- Working knowledge of Arizona real estate transactional paperwork, procedures, and practices

--- Ability to focus on a task, meet deadlines, and be able to handle last-minute tasks
--- Be a team player who thrives working with a tight-knit team where their activities directly affect the bottom line
--- Previous real estate industry experience
--- Experience with ARMLS, Transaction Desk, E-Sign, Dropbox, and Microsoft Office (PC Proficiency)
--- Has an active Arizona Real Estate License prior to hire

Salary:--Hourly rate based on experience, bonus for each transaction closed, annual bonus if team goals are met, cell phone allowance, mileage reimbursement
Applicants will be required to currently have an active Arizona Real Estate License. All applicants will be asked to complete a DiSC Personality Assessment prior to interviewing. If you have already completed a DiSC Assessment, please provide the results with your resume.


--- Manage the client database to keep information orderly and confidential
--- Adjust to the needs of the real estate office and execute other assistant duties when necessary
--- Implementing filing systems and order office supplies as needed


--- A valid Real Estate License is required for this job
--- Used to handling private information and meeting hard deadlines
--- Excellent communication skills and organizational skills
--- High school diploma or G.E.D. required
--- 2-3 years experience providing administrative support in a personal assistant role, or similar
--- Prior experience in real estate is a bonus
--- Accustomed to navigating computer software such as Microsoft Office and MLS
