Job Description

The School of Civic and Economic Thought and Leadership (SCETL) seeks an Event Coordinator Senior, to provide operational planning and support for The Civic Discourse Project (CDP) and other elements of a very robust public programing agenda for students, faculty, and the community, which is an integral part of the School's mission.

Under general direction, the Event Coordinator Senior will perform all aspects of events related activities, assist in the scheduling and coordination of public and academic events, seminars, and conferences; organize and coordinate activities, functions and programs in accordance with priorities, time limitations, funding limitations or other specifications. Required to maintain a flexible work schedule in order to coordinate and attend evening and weekend events.



Salary Range

$44,100 - $58,000 per year; DOE

Essential Duties

Schedules and coordinates all events for the School of Civic and Economic Thought and Leadership and provides consultative assistance to the Centers in the adaptation of events logistics to achieve desired outcomes.
Works closely with the Associate Director for Public Programs to support the Civic Discourse Project and other programming, from initial planning of events to successful event completion.
Performs tasks related to event coordination including the scheduling of facility and campus services.
Negotiates and prepares rental contracts with event related vendors determining fees and terms of contract; coordinates with SCETL Business Operations Staff.
Works with Anthony travel staff to negotiate and prepare contracts for events held outside ASU and for hotel booking for speakers.
Prepares event budgets in cooperation with the SCETL Business Operations Staff.
Attends events and ensures assigned aspects of events are implemented according to plans.
Maintains records on event activities, progress, or status, and reports on attendee registration data prior to and following the event.
Maintains event calendars, updating as necessary.
Maintains event RSVP lists and tracks attendance; prepares nametags and dinner cards as needed.
Determines technical and/or other special requirements needed for event; determines resources available such as equipment or labor and compares with event requirements
Coordinates event logistics by insuring proper set-up of chairs, turnstiles, tables and other requirements.
Serves as facility representative during events by responding to and resolving emergency situations.
Ensures adequate data entry in event management software to adhere to ASU policies and procedures.
Assists in problem resolution and answers questions; refers to appropriate department when unable to respond.
Provides assistance and information to faculty, staff and outside organization.
Maintains compliance with all ASU event requirements.
Represents university in public relations/liaison capacity on matters relating to events and at department meetings.
Monitors the activities of subordinates. Supervises student workers as needed for event activities.
Complete other duties, as assigned.



Minimum Qualifications

Bachelor's degree in Business Administration or related field AND three years of facility and/or service administration and coordination experience; OR, seven years of progressively responsible experience in facility and/or service administration and coordination; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.



Desired Qualifications

Master's degree preferred.
Experience in planning and executing both small- and large-scale formal events on and off-site.
Experience in managing concurrent events/projects simultaneously, demonstrating excellent time and project management skills.
Experience using event registration software, such as Aventri.
Knowledge of organizations practices, operations/logistics, including custodial and maintenance operations.
Experience in offering excellent customer service in a fast paced environment to multiple audiences.
Experience in interacting with a variety of campus personnel including staff, faculty, students, and administrators.
Knowledge of budgeting and accounting principles and practices.
Knowledge of supervisory practices and principles.
Skill in public relations and handling complaints.
Experience in work that required excellent attention to detail.
Evidence of effective written/verbal communication skills.
Experience with ASU campus and event management.



Working Environment

Most activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
Required to stand for varying lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Ability to clearly communicate to perform essential functions.
Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
Receive regular review of assignments for adherence to established goals and objectives.
