Job Summary
The Executive Assistant Senior for External Relations will provide
complex administrative, program and project support for the Vice
Chancellor and the Government Relations Director. The Executive
Assistant Senior's duties will involve a wide variety of diverse,
complex and sensitive/confidential administrative tasks which will
require diplomacy, judgement and initiative. They will provide
operational decision-making guided by policies and procedures while
determining the priority and order in which assignments are
performed, while interpreting guidelines to solve problems. They
should be independently motivated, with the ability to take on
tasks and duties without immediate directions on the behalf of
senior executives they support. The Executive Assistant Senior will
have a high level of responsibility along with using discretion and
maintaining confidentiality in their daily duties. This position
will work with all levels of college and district staff, as well as
community and business leaders.
Essential Functions
30% - Coordinates and provides senior level support for External
Relations, Vice Chancellor and Governmental Relations departments,
including tracking projects within External Relations; Perform
research and analysis related to assigned projects; Assists with
development and implementation of division guidelines, forms,
policies, and procedures as apart of initiatives; Maintains and
updates necessary distribution lists; Coordinates and provides
transactional support related to division operations working
closely with the Fiscal Administration area; Works with sensitive
and confidential information.
25% - Creates reports, presentations, documents, and process flow
charts related to operations, projects and initiatives; Work with
financial management system for procurement, coordinating travel,
expense reports, events.
25% - Works in collaboration with other division, district office
and college leadership administrative coordinators; Maintains Vice
Chancellor and Government Relations Directors calendars; Creates
original correspondence on behalf of External Relations leadership;
Prepares agendas, records minutes of meetings, gathers research and
other materials for meetings and activities.
10% - Interface with the Secretary of State's office regarding
lobbying activities for entire district: Filing quarterly and
annual reports, adding and deleting lobbyists, making sure reports
meet deadline in a timely accurate manner.
10% - Acts on the behalf of the Vice Chancellor and Government
Relations Director to maintain relationships with internal and
external administrators, staff, faculty and organizations along
with lobbyists, community and business partners.
Minimum Qualifications
Bachelor's Degree from a regionally accredited institution in
business administration or related degree and five (5) years varied
and increasingly responsible office secretarial or administrative
office support experience including public contact. A minimum of
two (2) years of experience supporting a senior executive level
manager.
OR
Associate's Degree from a regionally accredited institution and
seven (7) years varied and increasingly responsible office
secretarial or administrative office support experience including
public contact. A minimum of two (2) years of experience supporting
a senior executive level manager.
OR
High School Diploma or GED and nine (9) years varied and
increasingly responsible office secretarial or administrative
office support experience including public contact. A minimum of
two (2) years of experience supporting a senior executive level
manager.
Desired Qualifications
A. Minimum of five (5) years' experience as an executive assistant
or similar position, managing and coordinating multiple executives
and projects, acting as the point of contact for senior level
executives.
B. Five (5) years' experience supporting senior level leadership in
higher education, community or governmental entity or similar
position in a fast-pace environment with changing priorities.
C. Five (5) years' experience in providing problem-solving,
organizational, critical thinking and multitasking skills.
D. Demonstrated ability to communicate effectively and
professionally.
E. Demonstrated experience in discretion and ability to maintain
the confidentiality of communication and documents.
F. Demonstrated experience in taking on tasks and duties without
immediate direction.
G. Possess excellent knowledge of computer/office equipment (MS
Word, Excel, PowerPoint and G-Suite, copy machine, etc).

Special Requirements
Licenses, Registrations, or Certifications: Possession of a valid
Arizona Class D Driver's License may be required for some
assignments.
Preferred: Master's degree preferred
ADA AND OTHER REQUIREMENTS
Positions in this class typically require: fingering, talking,
hearing, seeing and repetitive motions.
Sedentary Work: Exerting up to 10 pounds of force occasionally
and/or a negligible amount of force frequently or constantly to
lift, carry, push, pull or otherwise move objects including the
human body. Sedentary work involves sitting most of the time. Jobs
are sedentary if walking and standing are required only
occasionally and all other sedentary criteria are met.
Working Conditions: Work is routinely performed in an indoor,
office environment.
