Job DescriptionThe School for Engineering of Matter, Transport and Energy (SEMTE) in the Ira A. Fulton Schools of Engineering and Zero Mass Labs (ZML) are currently seeking a Specialist Senior. Under general supervision, this position will effectively multitask various functions of interdisciplinary project(s) with numerous partners or stakeholders involved in academia, community and industry. This position will act as a liaison with community, students and faculty in facilitating university programs, provide purchasing support, develop and facilitate related workshops, conferences, and seminars, handle travel arrangements in CONCUR travel system, utilize Workday for reimbursements and monitor a variety of account expenditures including reconciling account expenditures, and advising which expenditures are within the budget guidelines.
Salary Range$41,469 - $57,100 per year; DOE

Essential Duties

  • Design and develop specific methodology and materials unique to the program, project initiative or area of a department/college
  • Act as a liaison with the community, students, faculty or staff in facilitating university programs
  • Consult with staff, students and others to provide purchasing support, advice, problem-solving assistance, answers to questions and program goals and policy interpretation
  • Develop and facilitate related workshops, conferences and seminars. Handle travel arrangements for Center employees in CONCUR travel system and for invited guests.
  • Assist with hiring assigned employees for the Center
  • Utilize Workday for procurement with contracted vendors, reimbursements and purchase orders. A purchasing card will be used for other various expenditures and transfers/payments through the ASU Foundation Workday system will be facilitated
  • Monitor a variety of account expenditures, maintain and reconcile outstanding encumbrances, advise and/or determine which expenditures are within the budget guidelines in conjunction with accounting and inform management of irregularities and proceeds with corrective action
    Minimum QualificationsBachelor's degree in a field appropriate to the area of assignment AND five (5) years of related experience; OR, Nine (9) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
    Desired Qualifications
    • Demonstrated knowledge of principles, practices and procedures withing Higher Education and University research
    • Demonstrated knowledge of budgeting and accounting principles
    • Experience in designing presentation materials, event planning and organization
    • Experience in establishing and maintaining effective working relationships
    • Evidence of effective communication skills
    • Experience using Microsoft Office and other applications (i.e., Excel, PowerPoint, Word, Outlook, Workday, CONCUR)
      Working Environment
      • Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of time sitting
      • Use office equipment including a desktop computer
      • Lift up to 25 pounds
      • Use effective communications skills to perform essential duties
