Together, we push the boundaries of science to make more possible for our customers.--Your role:EMD Electronics is seeking an experienced Executive--Assistant--to support the executive team at our Tempe, AZ Corporate headquarters.----The Executive Assistant will work very proactively and independently, often without supervision. You will be required to multi-task and demonstrate an in-depth understanding of the requirements of a legal and finance executive assistant including handling of confidential information, interfacing with senior level individuals both inside and outside the firm and demonstrate sound judgment. Proven organizational and communication skills are required.----The successful applicant should possess excellent organizational skills and take the initiative to use resources and contacts both within the Company and outside to complete tasks. Successful applicant must be

  • Extensive travel scheduling and detailed calendar work for the executives including scheduling and administration of numerous reoccurring meetings
    • Interact with the senior executives and executive level individuals at customers, suppliers and other service providers, and local government officials.--Complete administrative duties for leadership team and other direct reports. (Meeting and event planning; booking domestic and international travel; managing international travel requirements including obtaining visas and passports
    • Maintain group distribution lists
    • Organizing and managing the business filing and management system.
    • Preparing expense reports
    • Managing interfaces with outside organizations including industry and professional organizations
    • Prepare and post periodic communication materials for the Board of Directors
    • Prepare monthly and quarterly communications to various departments
    • Manage and support various programs and projects as assigned, either conducted independently or within a group setting; identifies resource needs; develops action plans, procedures, and timelines for achieving program or project objectives
    • Assist in daily schedule needs------Who you are:Minimum qualifications:
      • High School Diploma or GED equivalent
      • 3+ years administrative support experience
      • 1+ years--- experience with travel scheduling and detailed calendar work for the executives including scheduling and administration of numerous reoccurring meetings
      • 1+ years--- experience preparing monthly and quarterly internal communications Preferred qualifications:
        • Bachelor---s Degree
        • Proficient in all aspects of Microsoft Office Applications
        • Knowledgeable of passport and VISA procedures
        • Outstanding communication and organizational skills
        • Professional and display a high level of integrity, discretion, and confidentiality
        • Proficient in Microsoft Office Suite with particular emphasis on Word, Excel & PowerPoint
        • Willingness to learn new software and technology skills is critical
        • Strong attention to detail
