Administrative Assistant

What You will Accomplish - Your Performance Objectives

Objective #1:

Within your first 3 months, you work with a mentor who will teach you how to take on ownership of scheduling all public and private training for the entire organization.

First point of contact for all internal training inquiries and requests, ensuring timely response to internal clients
Manage schedules for team of 5 trainers, delegated scheduling experience very helpful
Assign deployments to trainers for onboarding customers
Work in extensively in Salesforce to
Set up training dates
Verify and update account information
View and modify Salesforce email templates for user certifications and other purposes
Work in Skilljar, LMS system, to set up training events and manage reservations
First line of defense through the customer facing mailbox

Objective #2:

Within your first 6 months, you will be the owner responsible for the scheduling, resource allocation and coordination, including Trainer Consultants, of all public and private training.

Work in extensively in Salesforce to:
Generate reports in Salesforce for tracking of training and deployments
Track enrollments in courses via the LMS platform
Generating Purchase Orders, in NetSuite, for training invoices
Serve as the contact point for outside training assignments with Training Consultants
Manage onsite training requests - when in-person training resumes
Act as liaison between Sales, Customer Success Management, & Training teams

Objective #3:

Within your first 12 months, you will work collaboratively with team members and other departments to improve the efficiency of the training process across the organization.

Improve efficiency of the training scheduling process, including with the new Learning Management System.
Work collaboratively with team members to improve training processes and enable use of automation where possible
Ensure the smooth daily operation of the Product Learning Experience team
The "go-to" for all thing Training related.
Own and maintain the Training Menu

Who We're Looking For - The Personal Competencies That Matter

Technical chops -

The successful candidate must have:

Strong communication and workflow documentation experience
Strong organization and multi-tasking skills
Ample administrative and data entry experience
Experience in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Spectacular communication skills. Typos drive you nuts, and professionalism may be your middle name.

Ideal candidate would possess:

Experience coordinating and managing multiple projects at the same time
Strong understanding of direct/database marketing/analytics.
Experience with a CRM tool, ideally Salesforce.
At least 2 years of experience in eDiscovery, Litigation Support, or Legal Technology in a client-facing role
Strong understanding of EDRM (Electronic Discovery Reference Model) cycle
Experience with ESI (electronically stored information) applications on review and processing
Experience working for an eDiscovery Service Provider as a Project Manager
