Recruiting is assisting our client in Phoenix, AZ with hiring a
proactive and highly organized Office Coordinator Lead to provide
excellent and reliable support to our Office Manager and field
operations teams. The ideal candidate takes pride in their work,
has a strong sense of ownership and accountability, and can think
on their feet to problem solve and improvise when needed. This role
is critical to keeping our office and field operations running
smoothly. You will handle a variety of deadline-driven tasks, often
simultaneously, and will be expected to communicate clearly on
workload, timelines, and changing priorities. Key Responsibilities
General Office & Administrative Support Provide daily support to
the Office Manager and field operations teams Manage general office
tasks, filing, and documentation to ensure accurate and organized
records Handle incoming calls and emails from field employees and
vendors in a professional and timely manner Assist with other
administrative and office duties as assigned Purchasing, AP, and
Vendor Management Serve as the main point of contact for field
employees requesting to purchase goods and services Create and
issue Purchase Orders (POs) in accordance with company guidelines
Verify delivery or receipt of products and services and reconcile
statements/invoices for payment authorization Ensure accurate job
costing for all purchases Research, onboard, and set up new vendors
(local and out-of-state) for goods and services Support full cycle
Accounts Payable processes; full cycle A/P experience is highly
preferred Inventory, Payroll & Equipment Support Perform weekly and
monthly material inventory reconciliation and tracking Assist with
payroll-related support for field employees as needed Help track
and maintain records related to company equipment and usage
Billing, Data, and Reporting Assist with customer invoicing and
related documentation Support Accounts Receivable functions as
needed Collect, research, and analyze data using Microsoft Excel to
support operations and reporting Compile information and prepare
reports to support job costing, budgeting, and decision-making
Qualifications Required: Proven experience in an office
coordination, administrative, or operations support role Strong
sense of ownership, accountability, and pride in quality of work
Ability to manage multiple deadline-driven responsibilities and
prioritize effectively Excellent communication skills, including
the ability to clearly convey workload status and shifting
priorities High level of accuracy and attention to detail
Proficiency with Google Suite (Gmail, Sheets, Docs, Drive, etc.)
and Microsoft Office (Excel, Word, Outlook, etc.) Strong
problem-solving skills with the ability to improvise and adapt in a
fast-paced environment Pay Details: $25.00 to $28.00 per hour
