Job Description
Under the direct supervision of the Executive Director of Career &
Professional Development Services and Deputy Vice President, the
Business Operations Manager (BOM) manages the planning, organizing
and coordinating of the business operations and fiscal functions of
Career & Professional Development Services in accordance with
established goals, priorities, time limitations, funding
limitations and other specifications, and coordinates all aspects
of the human resources functions related to the department.
These functions include all budgeting and forecasting, accounting,
human resources, strategic planning, inventory control, internal
procedures and other functions designated by the Executive Director
and Deputy Vice President. The BOM will oversee all aspects of
multiple and varied accounts in a One University Model and work
closely with directors across the department's Core Units. The BOM
may supervise one to two full-time professional staff and student
employees as part of the Career Peer Student Employment
Program.
Salary Range
$57,500 - $59,500 per year; DOE

Essential Duties
--- Manages the daily business, fiscal and human resources
operations for the unit.
--- Responsible for unit budget development, system entry,
monitoring, budget projections and analyses, variance reporting,
forecasting and year-end budget close. Makes recommendations on
budget revisions.
--- Monitors and processes a variety of account expenditures and
assists with maintaining and reconciling detailed budgets for
multiple and various accounts.
--- Maintains revenue collections, invoices internal departments
and external vendors; follows-up on outstanding invoices and
processes refunds.
--- Responds to internal and external audit requests and gathers
documentation as needed; including but not limited to verification
of approval levels, salary for all employees, and written internal
reconciliation process.
--- Performs PCard, Payroll and Accounts reconciliations.
--- Purchases supplies, services, and equipment with use of PCard
and other purchasing documents in accordance with established
procurement and financial policies.
--- Advises on vendor contracting and procurement policies and
procedures.
--- Prepares multiple and varied departmental and financial
reports.
--- Coordinates and processes staff and student recruitments, staff
promotions and student pay rate change processes, termination
processes, and maintains personnel files consistent with University
policies and practices.
--- Oversees staff onboarding and training updates and monitors for
completed training schedules/required certifications.
--- Investigates Bi-Weekly payroll discrepancies and works as a
liaison between the unit and human resources to reach a
solution.
--- Performs all activities associated with Department Time
Administrator to ensure accurate and timely recording of exception
and positive time for human resource staff members. Manages,
utilizes and monitors the Time Attendance System for the
department.
--- Requests, updates and monitors Federal Work Study awards for
50+ Student Staff.
--- Provides training and tax information to onboarding student
staff before their start date.
--- Provides coordination and approval for a large volume of travel
requests and expense reports within a specific timeframe.
--- Works independently, and as part of a team, by exercising
professional judgment to serve as a knowledgeable and helpful
resource in respect to ASU and Educational Outreach and Student
Services (EOSS) policies and procedures and to ensure accurate and
ethical output and processing.
--- Works closely with EOSS business administration and central
Office of Human Resource Benefits offices.
--- Assists with overseeing space utilization, building repair and
maintenance; coordinates renovation/remodeling projects.
Work Schedule: Monday - Friday, 8:00 am - 5:00 pm, with occasional
evenings and weekends required. Job location is primarily at the
Tempe location; however, the incumbent may occasionally be required
to travel to other ASU locations to perform work.
Minimum Qualifications
Bachelor's degree in a related field and six (6) years of directly
related administrative experience which includes three (3) years of
supervisory experience; OR, Ten (10) years of directly related
administrative experience which includes three (3) years of
supervisory experience; OR, Any equivalent combination of
experience, and/or education from which comparable knowledge,
skills and abilities have been achieved.
Desired Qualifications
Experience managing business and financial functions within a
University setting.
Demonstrated knowledge of ASU's business, finance, and human
resources policies and procedures.
Demonstrated knowledge of accounting and budgeting practices and
principles.
Demonstrated knowledge of state and federal laws pertaining to
budgeting and accounting practices.
Demonstrated knowledge of management principles and practices.
Demonstrated knowledge of supervision practices and techniques.
Experience in coordinating projects and establishing
priorities.
Evidence of effective communication skills.
Working Environment
Communicates effectively both orally and in writing
Professionally represents department/division
Uses technology effectively - including inputting, reviewing and
retrieving information
Works collaboratively across various departments and campuses
within the University
Ability to lift 50 lbs.
