Center for Biodiversity Outcomes seeks a program manager who, in
conjunction with center leadership, supports center operations,
including administrative, project management, communications, and
fundraising tasks. This role will act as the primary center liaison
for partnerships and research collaborations and the main point of
contact for ASU and external
partners.Full-Time/Part-TimeFull-TimeSalary Range$55,000 - $63,000

DutiesAdministrative:Manages travel for the founding director,
including post-trip expense reports for the founding director,
processing all necessary paperwork in compliance with university
policies and procedures.Serves as point of contact for non-employee
travel.Serves as events logistics coordinator, arranging and
overseeing venue, AV equipment, catering, and materials. Completes
pre-and post-event forms with the team, ensuring task assignment
and completion for successful event execution. This position
sometimes requires evening and weekend hours for events.Oversees
the center's archival systems (paper and digital), coordinating
team members to regularly maintain their corresponding area
foldersCoordinate facility repairs and renovations.Maintains the
center's and the Founding Director's calendars, as well as room
reservation calendars.Screens phone and in-person inquiries about
the center.Initiates and follows through on requests for technology
and facility services for internal and external center
initiativesProgram Management:Assist with single- and multi-year
strategic planning by helping brainstorm, articulate, and capture
center initiatives and the specific projects' goals, metrics, and
timelines in the areas of education and diversity, research,
partnerships, and operations.In preparation to help facilitate
strategic planning meetings, review and identify relevant RFPs to
provide insight regarding existing initiatives and opportunities
for growth.Develop timelines and track progress toward milestones
deliverables and project completion.Coordinate efforts to ensure
timely delivery of project outcomes.Take and distribute minutes and
follow up with participants to ensure action items'
completion.Facilitate communication among teams via email,
meetings, presentations, and reports.Act as host for visitors, work
with the administrative associate to coordinate visitor schedule
for meetings with ASU representatives.Supervisory:Supervise interns
and student workers, as needed. Completes mid-term and end-of-term
evaluations and reports back to internship class coordinator while
supervising interns.Perform activities associated with the time
administration system to ensure accurate and timely recording of
exceptions and positive time for direct reports.Marketing +
Communications:Maintain the center's social media accounts and the
center's website composing and linking relevant and timely content
while adhering to ASU's social media best practices.Works with
vendors and other ASU design and communication teams - in
particular, the Julie Ann Wrigley Global Institute of
Sustainability and the School of Life Sciences - to oversee the
production and promotion of integrated communication pieces, both
printed and digital.Finance:Processes purchases, reimbursements,
and honorariums, completing the corresponding paperwork and
submitting via the financial management system as intended per ASU
policies and procedures. Tracks all reimbursements for the founding
director.Manages the CBO P-Card and completes purchases via SunRISE
(Amazon, Staples).Monitors & reconciles budgets.Identifies and
addresses budget irregularities (SOLS, ASUF and GIOSI accounts) and
prepares financial reports for leadership.Interprets ASU policies
and procedures and develops internal processes and training on
adhering to these policies.Works with ASU and external partners on
funds disbursement and assists internal grantees with sponsored
budgets.Fundraising:Works with center and ASU leadership, the ASU
Foundation, and affiliated research advancement offices to
identify, develop, submit and track grant and philanthropic
proposals.Utilizes ASU-approved search engines to search for
funding opportunities.Gathers information relating to and assists
in forming connections with funding organizations.Provides a
supporting role in co-developing proposals and proposal
materials.Minimum QualificationsBachelor's degree in a related
field AND five years administrative/coordination experience; OR,
Master's degree in field appropriate to area of assignment AND
three years administrative/coordination experience; OR Any
equivalent combination of experience and/or education from which
comparable knowledge, skills and abilities have been
achieved.Desired QualificationsEvidence of effective communication
skills.Experience in work that requires organization and attention
to detail.Experience working independently or with a team.Evidence
in having a background and interest in biodiversity
conservation.Experience with ASU procedural standardsExperience in
cultivating and maintaining effective working
relationshipsExperience in facilitating small and large workgroups
with diverse participants (students, academics, business, and
non-profit professionals)Experience in event and meeting
planningExperience in managing complex projects with academic and
